Givebutter integration
Record Givebutter gifts, fees and payouts without counting a gift twice.
Gifts are summarized by gift date, with online gifts kept separate from cash and checks. Posting records contributions, event revenue and fees, and each payout or deposit moves the money to your bank without recording the gifts again.
GivebutterHow it works
Four common scenarios, step by step.
Ticket with a contribution and covered fee
Separates the amount paid for the event from the amount donated.
Example: a donor pays $150 for a ticket with $60 of event value and covers a $4.65 fee. Covered fees are recorded as separate income in this example.
Donor payment
Givebutter records the ticket and its event value
$154.65 Amount paid
Gift split prepared
One gift, three income lines
Daily entry accepted
The full receipt and the withheld fee are recorded
Payout recorded
$150 moves from clearing to the bank
$0.00 Clearing after payout
The $90 contribution, $60 event payment and $4.65 of covered fee income are recorded separately. After $4.65 of processing expense, $150 is deposited to the bank.
Payout received before its gift day posts
Automatic posting waits for the gifts, then records the bank deposit and payout charges.
Example: two gifts add $140 to the Givebutter balance. A completed payout sends $136.55 to the bank after a $2.45 instant payout fee and a $1 tip. The connection is active and automatic posting is on.
Two gifts received
The gift day is still open
$140.00 Available for payout
Payout held
The payout waits for its gift day
$136.55 Payout waiting
Gift day posted
Automatic posting records the gifts first
Payout posted
The transfer and charges clear the full $140
$0.00 Unexplained difference
The $140 of gifts equals the $136.55 bank deposit plus $3.45 of payout charges. Clearing is zero for this payout.
Refund of a gift with a covered fee
The donor's full payment is reversed, and the fee the processor retained remains an expense.
Example: a donor gives $100 and covers a $3.20 fee, and a $100 payout is received. The full $103.20 is later refunded, and the processor keeps its fee.
Original gift recorded
The $3.20 covered fee is included in contributions
Payout recorded
$100 is deposited to your bank
Refund synchronized
The reversal is prepared for its own day
Refund day accepted
Clearing tracks the amount still to settle
Contribution income totals zero, and the $3.20 processing fee remains an expense. The earlier $100 bank deposit remains recorded, and clearing tracks the $103.20 refund still to settle.
Gifts awaiting payout at the start date
Carries forward money already recorded without recognizing the contribution again.
Example: before your start date, the earlier books recorded a $1,000 gift and a $30 fee. The $970 still held by Givebutter is deposited to the bank after Imprest starts recording.
Earlier records identified
The contribution and fee already exist
Start date reviewed
The earlier recording method is confirmed
Opening entries recorded
The existing $970 moves to Givebutter Clearing
Payout recorded
The earlier gift is deposited to the bank
The $1,000 contribution and $30 fee remain in the earlier books. The opening reclassification and the later payout move $970 between balance sheet accounts without recording another contribution.
Scope
Synchronized data and your controls.
Data synchronized
Gifts, refunds, funds, campaigns and payouts, read on your chosen schedule, every 15 minutes by default. Webhooks can trigger earlier updates for supported events. Gifts are grouped by date, but they are not synchronized only once a day.
Your controls
You choose the start date, describe how earlier gifts were recorded and classify funds in Imprest. A ready summary is held until you choose Accept, unless automatic posting is on. Held gifts can remain outside an otherwise ready summary.
