Bill.com accounting integration: bills and payments.
In short
Keep paying bills in BILL. The integration brings your bills, bill payments, vendor credits and reimbursements into Imprest, and new bills wait for your review unless you let them post. It works with BILL Accounts Payable, Spend & Expense, or both.
Before you start
You need an owner, admin, accountant or bookkeeper role in Imprest to connect BILL. Changing its settings takes an owner or admin.
BILL doesn't use a sign-in button here. You copy keys from BILL into Imprest, and you need an admin role in BILL to create them:
- Accounts Payable: in BILL, go to Settings, then Sync & Integrations, then Manage Developer Keys, and generate a developer key. On the same screen, open Tokens and create a sync token. Imprest never asks for your BILL password.
- Spend & Expense: in BILL, go to Settings, then API Access, and select Generate API Token.
Moving from another accounting app? Pick a start date after your opening balances so open bills aren't counted twice.
Connect BILL
- Open Apps and select Add a connection.
- On the Bill.com card, select Connect.
- Choose Accounts Payable only, Spend & Expense only, or both.
- For Accounts Payable, enter the Developer key, Sync token name and Sync token, then select Find my organizations and pick yours. For Spend & Expense, enter the S&E API token.
- Set Import history starting from and select Connect.
- If BILL sends you a verification code, enter it and select Verify.
- In Match your chart of accounts, pair each BILL account with one in your books and select Confirm.
- Check Your BILL vendors and Your BILL items, selecting Continue on each.
- Select Done. The first sync starts, and bills land on the Bills tab for review.
What comes in, and how it lands in your books
- Bills wait on the Bills tab for you to review and post. A bill with a vendor, account or item Imprest can't match still comes in, with the reason shown.
- Bill payments post against bills already in your books, from the bank account you paid with.
- Vendor credits come in and apply the same way.
- Reimbursements wait on the Reimbursements tab. When the employee paid a bill that's already in your books, Imprest records it as paying that bill instead of adding a second expense.
- New vendors are added for you, and a vendor Imprest only suggests never posts until you confirm it.
- Spend & Expense card charges land in Banks & Cards for you to categorize.
Nothing dated before your start date comes in, even a bill that's still unpaid.
Day to day
- Imprest checks BILL every 4 hours to start. To change that, open the Connection tab on the Bill.com page in Apps, choose every hour, 2, 4 or 12 hours, or daily, and select Save sync settings.
- To check now, select Sync now under Sync from BILL.com.
- When a bill changes in BILL after you posted it, it shows under Changes needing review. Look it over and select Mark reviewed.
- The page also has tabs for Vendors, Items and Accounts, where you can fix how BILL's records match yours.
Common problems
BILL didn't accept the credentials
The connection shows Requires re-authentication. Create a new key or token in BILL, then select Reconnect AP or Reconnect S&E. If BILL says your account is locked, reset it on bill.com first.
Syncing stopped after an error
After a sync error, automatic syncing pauses until you select Retry sync.
A bill is missing
Check two things. Bills dated before your start date are skipped. Bills coded to a BILL account you didn't match keep being skipped until you match it on the Accounts tab.
Imprest couldn't find your organizations
Enter the Organization ID yourself. It's at the bottom of BILL's Manage Developer Keys page.
Disconnect
- Open the Connection tab on the Bill.com page in Apps.
- Select Disconnect AP, Disconnect S&E or Fully disconnect BILL.com, and confirm.
Imprest stops syncing. Everything already synced stays in Imprest, and you can reconnect later with the same credentials.
