Connect Gusto to Imprest.

Keep running payroll in Gusto. Bring the numbers into Imprest without entering them again.

Before you start

You'll need to sign in to both Imprest and Gusto on the web, with permission to connect apps for your business. Gusto works with all three Imprest plans: Starter, Pro, and Scaling. Turn on Payroll in Imprest to get started. There's no extra Imprest fee to connect Gusto; you pay for your Gusto subscription separately.

Imprest brings in payroll runs and reports, employee details, contractor payments, and payroll tax payments. If you track time in Imprest, you can also send approved hours to Gusto.

Connect and choose your history

  1. Sign in to Imprest and open the organization you want to connect.
  2. Open Payroll and choose Connect Gusto. Enable Payroll if prompted.
  3. Sign in to Gusto, choose the company you want to connect, and allow Imprest access.
  4. In Imprest's History step, choose the first pay date to import.
  5. In Team, check that each person from Gusto is matched to the right person in Imprest. Create a profile for anyone who isn't already in Imprest.
  6. In Accounts, choose the bank account Gusto pays payroll from. Imprest sets up the other payroll accounts for you.
  7. In Review, select Finish and go to payroll. The first import runs in the background.

Already entered some payrolls by hand? Choose a start date after those payrolls so you don't count them twice. Imprest remembers what it imports through this connection, but it can't match those imports to journal entries you've entered yourself.

If you work with an accounting firm, your accountant may handle the History and Accounts steps. Imports will wait until those steps are finished too.

Sync and post payroll

After setup, Gusto tells Imprest when payroll changes, and Imprest brings in the updates. It also checks once a day as a backup. You can review each imported run before posting it to your books.

  1. To check for updates now, open Payroll and select Sync for the Gusto connection.
  2. Check Last sync and any error shown. In Runs, choose a period that includes the payroll's pay date.
  3. Open a run and check the amounts and accounts. Once its payroll report is ready and every category has an account, select Post to ledger to record it in your books.

Turn on automatic posting

  1. Open Settings → Payroll → Accounting and select the Gusto connection if more than one is listed.
  2. Confirm every required payroll category has an account selected.
  3. Turn on Auto-post payroll runs.

When Gusto tells Imprest a new payroll is ready, Imprest can post it for you once the report arrives and the accounts are set up. For past payrolls and runs you bring in with Sync, you'll still need to choose Post to ledger. If a run shows an error, fix the problem and choose Retry post.

Turn auto-post off whenever you want to review each run yourself. Payroll will still sync, and anything already posted stays in your books.

Change account mappings

Open Settings → Payroll → Accounting, select the connection, and choose the accounts for payroll categories such as wages, taxes, benefits, liabilities, and cash. Changes save automatically. If a choice isn't accepted, the message beside it explains why. Fix it, then return to the run and try posting again. New account choices won't change runs already posted.

Send approved hours to Gusto

If you track time in Imprest, you can send approved hours to Gusto before running payroll. First, check that each person is linked to their Gusto employee record and has a job assigned in Gusto.

  1. Open Employees → Team Time Grid and select the week.
  2. Review and approve the week's time entries.
  3. Select Send to Payroll. The button may include the number of entries ready to send.
  4. Check the total and select Send hours. Imprest sends the week's approved entries that haven't been sent yet.
  5. Check for any errors, then review the hours in Gusto before running payroll there.

To correct sent hours, select Retract for the week and confirm Retract hours. Once the hours are removed from Gusto, correct them in Imprest, approve them again, and resend. If Gusto says the pay period is locked, contact support for help correcting the hours.

Manage and disconnect companies

Open Connections → Gusto to see each company's connection and last sync. To add another company, select Connect another Gusto company, sign in to Gusto, and follow the setup steps for that company.

  1. To disconnect, sign in with permission to manage integrations.
  2. Open Connections → Gusto and find the company.
  3. Select Disconnect, review the confirmation, and select Disconnect again.

Imprest stops bringing in payroll from that company. Payroll you've already posted stays in your books, and your Gusto subscription and payrolls are unchanged. You can reconnect the same company later.
