Support / Sequoia One
Sequoia One payroll in your books.
In short
Sequoia One keeps running your payroll. Imprest syncs your employee directory from it and turns each completed Sequoia payroll into a draft in Payroll, which reaches your books when you approve it. When that payroll's bank withdrawal shows up in your bank feed, you match it to the posted payroll.
Before you start
You need permission to manage your team in Imprest, and a Sequoia administrator account. You sign in to Sequoia from inside Imprest and complete Sequoia's verification there, so have your phone or authenticator app nearby.
Imprest saves your Sequoia login and session, encrypted, so it can sync each day. Disconnecting removes them.
If another payroll provider is already active in your Imprest company, connecting Sequoia keeps that provider and brings in the employee directory only.
Connect Sequoia One
- In Imprest, open Apps, choose Add a connection, find Sequoia One and choose Connect.
- Under Sign in to Sequoia, enter your Work email and Password, then choose Continue.
- Choose how to verify, then enter the Verification code and choose Verify. If Sequoia asks you to approve on your device instead, approve it and choose I've approved it.
- Imprest reads your employee directory. This can take a minute.
- Under Review your employees, link each Sequoia employee to the right person in Imprest, add the new ones, or skip anyone you don't want.
- Choose Finish connecting. This also turns on Payroll in Imprest if it isn't on yet.
What comes in, and how it lands
- Employees. Your Sequoia directory, base pay and pay calendar. Linked people stay up to date as Sequoia changes. Base pay shows only to members allowed to see pay rates.
- Completed payrolls. Imprest reads completed Sequoia payrolls from the last 180 days and checks each against Sequoia's vouchers, invoice and allocation report. A payroll whose reports agree becomes a draft run in Payroll, with a paycheck per person.
Syncing employees and creating drafts don't post anything. A draft reaches your books when you approve it and its accounts are mapped. Sequoia still pays your people and handles its payroll taxes.
When the bank withdrawal for that payroll shows up in your bank feed, match it to the posted payroll rather than adding it as a new expense, so the cost isn't counted twice.
Day to day
- Sequoia refreshes your directory every day on its own.
- New hires wait for you to add or match them. To have them added for you, set New employees from Sequoia to Add automatically. A new hire whose work email matches exactly one person is linked; anyone unmatched is added. Name-only matches still wait for you.
- Open Payroll, open the draft, check the amounts, dates and accounts, and approve it. If it's approved but an account isn't mapped yet, map it and choose Post to ledger.
- Choose Sync now on the Sequoia connection to read again right away. It also retries payrolls that were held.
Common problems
- Your session expired. The connection says Reconnect Sequoia. Choose Sign in again, or Continue with saved login, and verify again.
- "Your employee list isn't ready yet." The directory read was interrupted. Choose Try reading employees again.
- "This account uses a sign-in method we don't support yet." Cancel and try another Sequoia administrator account.
- A Sequoia payroll is waiting to be recorded. The connection lists what's missing. If it names a person, link or add them, save, then choose Sync now. If Sequoia's report has a new column, such as a benefit plan, say whether it's withheld from pay or paid by the company under Map Sequoia's payroll report columns, then choose Save and record payroll.
- A payroll was already imported. Each Sequoia payroll is imported once. If Sequoia corrects one later, review the correction in Payroll yourself.
Disconnect
- Open the Sequoia One connection.
- Choose Disconnect, then Disconnect Sequoia to confirm.
Employee updates stop, and the saved login and browser session are removed. Imported employees stay in Imprest, and so do payrolls you've already posted.
