Shopify integration

Record each Shopify order, fee and payout in your books.

Orders record what was sold, fees record the cost of processing, and payouts move the remaining money to your bank. Tax, shipping, gift cards and returned stock are tracked at each step.

How it works

Three common scenarios, step by step.

Order with tax, shipping and a discount

Keeps sales, tax owed and processing costs separate and explains the net deposit.

Example: $100 of goods with a $10 discount, $5 of shipping, $7.20 of tax and a $3.20 fee.

01Customer

Customer payment

$102.20 collected

$102.20 Amount paid

02Imprest

Order recorded

Sales and tax are recorded separately

$7.20 Tax payable

03Shopify

Balance line received

$102.20 charged, $3.20 retained by Shopify

$99.00 Net to the balance

04Bank

Payout deposited

Imprest suggests the matching bank deposit for confirmation

$99.00 Bank deposit

Sales of $95 after the discount, $3.20 of processing expense and $7.20 of tax payable are recorded. Checking holds $99, and the Shopify Payments balance returns to its prior amount.

Gift card sale and payout

The cash reaches your bank while the store still owes goods to the gift card holder.

Example: a $25 gift card sold and a $25 payout, with the gift card still unused.

01Customer

Gift card purchased

$25 paid to the store

$25.00 Amount paid

02Imprest

Liability recorded

The store owes $25 of goods

$25.00 Gift card outstanding

03Bank

Payout deposited

$25 is transferred to checking

$25.00 Bank deposit

04Your team

Unused gift card reviewed

The $25 obligation remains outstanding

$25.00 Gift card outstanding

Checking holds $25 and Gift Card Liability is $25. The Shopify Payments balance returns to its starting amount, and no goods revenue is recorded while the gift card remains unused.

Refund with one item returned

Returns the money and tax, and restores only the stock that was returned.

Example: two $50 items with $8 of tax and a $20 cost per item, a full $108 refund, and one item returned.

01Imprest

Original sale recorded

Two tracked items leave stock

$108.00 Amount paid

02Your team

Refund issued in Shopify

One item is returned and the customer keeps the other

$108.00 Cash refunded

03Imprest

Sales and tax reversed

The amounts come from the original receipt

$8.00 Tax reversed

04Imprest

Returned item restocked

Recorded together with the refund

$20.00 Inventory restored

The sale and tax are fully reversed. One unit returns to inventory at its original $20 cost, and the other unit's $20 cost remains expensed because it was not returned.

Scope

Synchronized data and your controls.

Data synchronized

Paid orders, products and successful cash refunds. Your Shopify Payments balance is an account in Imprest, updated from the balance lines Shopify reports.

Your controls

New connections post orders automatically, subject to review rules, and your saved settings control posting. Each order records its own Shopify Payments fee. Payouts are recorded as transfers from the balance to your bank, with no sale recorded.
