The short answer

Xero™ costs less, and the gap grows with your team. Its plans run $27 to $97 a month with no per-user fees. QuickBooks® Online runs $38 to $340, with users capped by plan (October 2026). QuickBooks sells Intuit’s own payroll alongside it. Neither publishes a US accountant count, so ask your accountant which one they use.

Is Xero or QuickBooks better for a small business?

If you strip away the branding, the two tools solve the same problem and disagree mostly at the edges. QuickBooks is built around US accountants, and Intuit sells its own US payroll alongside it. Xero came at it from the other direction, with a pricing model that does not charge you for adding a colleague.

That shapes who each suits. A US business whose accountant is already fluent in QuickBooks will have a smoother relationship staying there. A business that wants several people in the books without paying per user may lean toward Xero.

How do Xero and QuickBooks Online compare?

Xero’s plans run $27 to $97 a month with no per-user fees, and QuickBooks Online’s run $38 to $340 with users capped by plan. These are US plans, monthly list prices before promotions, from each vendor’s own pages on October 31, 2026. Both change often, so check before you rely on them.

By each company’s own count, Intuit has more paying customers, and Xero names more accountants and bookkeepers and more connected apps (over 1,000 to Intuit’s over 800). Every figure is the company’s own, and they don’t measure quite the same thing, so the table says what each one covers.

The second-company column deserves its own page. If you own more than one business, start with running two companies in QuickBooks Online.

Where is QuickBooks Online stronger than Xero?

  • US accountants. Intuit says over 150,000 accountants are on its Intuit Accountant Suite platform. That matters when you hand off at year end.
  • Intuit’s own payroll. QuickBooks Workforce is built by Intuit. Xero’s payroll is built in now too, powered by Gusto since August 2026, so this edge is narrower than it used to be.
  • A bigger customer base. Intuit counts 8.9 million paying customers across its online products, QuickBooks among them.

Where is Xero stronger than QuickBooks Online?

  • Apps. Xero says over 1,000 apps connect to it; Intuit says over 800 connect to QuickBooks Online. Both are each company’s own count.
  • Users. Xero charges no per-user fees on any US plan, so you add staff without moving up a pricing tier.
  • A shorter price list. Three plan tiers instead of four, and the top one is $97 a month against $340.
  • Inventory on the entry plan. Basic inventory is in every Xero plan, where QuickBooks Online charges $40 a month for it below Plus.
  • The interface. Which one feels cleaner is taste. Try both before you decide.

Is Xero cheaper than QuickBooks Online?

Yes, and the gap grows with every login. At three logins, QuickBooks Online needs Essentials at $85 a month, while Xero stays at $27 or $59 because it doesn’t charge by the user. The table works out the cheapest plan for each team size from the two price lists above.

4 or 5Plus, $140Early, $27Growing, $59
6 to 25Advanced, $340Early, $27Growing, $59

Early’s limits are 20 invoices and 5 bills. Users aren’t the only reason to move up a plan, either. Xero puts multicurrency and project tracking on Established, and QuickBooks Online puts inventory on Plus. Price the plan that has the features you use.

Both run promotional rates that make a headline comparison misleading, so compare list prices after any intro discount ends. QuickBooks Online offered new customers 50% off for three months or a 30-day free trial when checked. Xero’s current prices took effect for new and existing US subscribers on October 1, 2026, up from $25, $55 and $90. Xero bills monthly.

Watch two things that inflate the real cost: paid add-ons for payroll or advanced features, and the per-company multiplier if you run more than one business, since both tools bill each company separately.

For a worked comparison at list prices, the pricing page lines QuickBooks Online and Desktop up plan by plan. For three-year totals with payroll and payment fees added in, see how much accounting software costs.

How do you choose between Xero and QuickBooks?

Three questions settle most decisions:

  • What does your accountant use? A tool your accountant already knows saves real friction. If they have no preference, this stops mattering.
  • How many people need in? If the answer is more than one, Xero’s pricing can decide it.
  • What do you need beyond the basics? Price the exact plan with your real add-ons, not the headline tier.

And if both feel like more than you need, or more than you want to pay, that is worth noticing too.

If part of the question is whether you need a person in the books at all, how much a bookkeeper costs is a fair place to start.
