Article summary

To get all your data out of QuickBooks® Online before you cancel, start with Settings, then Export data, for your reports and lists. Attachments, estimates, purchase orders, bank rules and payroll each export on their own.

After you cancel a paid subscription, Intuit gives one year of read-only access, or longer if another QuickBooks Online subscription stays on your login.

Can I download everything from QuickBooks Online at once?

No. QuickBooks Online has one bulk export, and it covers your reports and lists. Intuit says it takes the transactions that change your account balances, such as invoices, receipts and bills, and hands them back as Excel files in one zip file.

That zip holds reports, not records. A General Ledger report lists every transaction by date, name and amount. It doesn’t hold the invoice your customer saw or the receipt you snapped at the lumber yard. Those live on other screens, and each one exports on its own.

So getting everything out takes more than a dozen downloads. None of them is hard. The table below lists every one.

What do I need to export from QuickBooks Online, and where is each thing?

As of October 31, 2026, QuickBooks Online’s Export data zip holds your reports and lists. Everything else exports from its own screen. The audit log has no export in Intuit’s help, and reconciliation reports can’t go to Excel directly. Each row comes from Intuit’s US help pages.

Sixteen kinds of QuickBooks Online data compared by where each exports from, the file you get, what is left after you cancel, and the Intuit help page that says so, as of October 2026

The “After you cancel your only subscription” column is the one to watch. Intuit’s cancel page gives you read-only access for one year after you cancel, or indefinitely while another QuickBooks Online subscription stays on the same Intuit login (Intuit, updated October 30, 2026). During that time you can export data to Excel or to QuickBooks Desktop (Intuit, updated August 5, 2026). Intuit promises nothing more for a zip of attachments, a printed form or the bank rules screen, so get those while you still pay.

How do I export all my QuickBooks data to Excel?

  1. Open Settings, the gear icon. Under Tools, choose Export data.
  2. Pick your reason for exporting, then choose Continue.
  3. On the Reports tab, set the date range.
  4. Turn on the reports and lists you want on the Reports and Lists tabs.
  5. Choose Export to Excel.

Intuit’s US page doesn’t list what the tool includes. Open the Reports and Lists tabs and turn on everything you want. Set the date range to cover every year you kept in QuickBooks. If you started in 2019, that’s eight years of reports.

A long General Ledger can be too big to show on screen. Intuit’s fix is to export it to Excel anyway. If it still comes out short, run it in pieces, by year or by account, and combine them in Excel. If a file opens with data missing, Intuit says Excel has it in Protected View. Choose Enable Editing.

Your chart of accounts and your products and services aren’t in the zip. Run the Account List report for the first and the products report for the second, and export each one.

How do I export all transactions from QuickBooks Online?

Estimates and purchase orders never reach your reports. They don’t change any balance, so the bulk export leaves them out. Intuit gives each its own export from the Sales transactions and Expense transactions lists, filtered by type.

For the forms your customers saw, go to Sales transactions, tick the invoices and sales receipts you want, and choose Batch actions, then Print. Intuit’s help doesn’t say whether that gives you a PDF to save, so print one small batch first and see what you get. Customer statements come out one customer at a time.

None of these files can become your books somewhere else. A spreadsheet of General Ledger lines doesn’t say which payment paid which invoice. Your exports are an archive you can read. To move the invoices and payments themselves, you need a tool that reads QuickBooks directly. Our guide to switching from QuickBooks Online compares those tools and shows how to prove nothing was lost.

How do I download all my attachments and receipts?

Open Settings and choose Attachments, under Lists. Tick the files, open Batch actions and choose Export. A zip file downloads with a folder of the files you picked. For one file, choose Download in its row.

Intuit doesn’t publish a limit on how many you can export at once. If you have years of receipts, export them in batches, so one failed download doesn’t cost you all of them. Then open each zip and look for a receipt you know is there, like last March’s $412 lumber bill.

What happens to my payroll records when I cancel?

Payroll runs on its own subscription and its own clock. Intuit’s cancel page for its online payroll (updated August 3, 2026), which it calls QuickBooks Workforce, says to run your final payroll and print the payroll reports you need first. If you pay and file your own payroll taxes, make the last deposits and file any forms still due.

After you cancel payroll, Intuit says you keep access to your payroll data until one year after the date you canceled. Export and save copies of your reports inside that year.

The IRS asks for longer. It says to keep employment tax records for at least 4 years after the tax is due or paid, whichever is later. So save your payroll reports and every tax form you filed as files you keep. Your accountant can tell you which periods apply to you.

Can I save the QuickBooks Online audit log and reconciliation reports?

Not with an export button, going by Intuit’s help. These two are the easiest to lose.

The audit log is the record of who changed what, and when. It sits under Settings. You filter it by user, date or event, and it shows 150 records at a time. Intuit’s help describes it on screen only and gives no export. It keeps events for two years. And Intuit lists an active QuickBooks Online subscription as a requirement to see it. So look through it before you cancel. If your accountant wants part of it, filter to that period and save what’s on screen while you still pay.

A reconciliation report shows what cleared and what was still open when you reconciled. Intuit says it’s one of the few reports that can’t be exported to Excel directly. Print it, or copy it into a spreadsheet. Do that for the last reconciliation on every bank and card account, because your first reconciliation anywhere else starts from its list of uncleared items. Our guide to reconciling in QuickBooks shows where those reports live.

How do I do a full backup of QuickBooks Online?

There are two ways to keep a full copy, and each has limits.

The first is a QuickBooks Desktop company file. From QuickBooks Online’s Export Overview page, you download Intuit’s migration tool, choose All financial data, download a QBXML file, and import it in QuickBooks Desktop. Intuit says large moves can take hours. You don’t need to own Desktop. Intuit says that if you don’t own a license, you can use a QuickBooks Desktop trial file. Intuit’s Data Services team says it doesn’t help move QuickBooks Online data to QuickBooks for Mac.

Some things don’t make the trip. Intuit lists the audit log, payroll histories, employee tax setups and recurring templates, and it says inventory isn’t exported for products and services. Check the result with a Profit and Loss on the accrual basis in both, as Intuit suggests. If you’re thinking of working in Desktop from here on, our guide to whether QuickBooks Desktop is being discontinued says which versions Intuit still sells.

The second is Online Backup, on QuickBooks Online Advanced and Intuit Enterprise Suite only. It saves transactions, lists and attachments, keeps snapshots from the last year, and can send an archive to Google Drive as a .cab file. Intuit says you can’t restore from that cloud archive right now. It also leaves out bank rules, reconciliation reports and audit log entries. Intuit doesn’t say what happens to backups after you cancel, so don’t count on one as your only copy.

What happens to my QuickBooks Online data after I cancel?

As of October 2026, Intuit gives you one year of read-only access when you cancel your only paid QuickBooks Online subscription, its cancel page (updated October 30, 2026) says. Keep another QuickBooks Online subscription on the same Intuit login and read-only access lasts indefinitely. Its data page (updated August 5, 2026) adds that you can export to Excel or QuickBooks Desktop during that year, and that a canceled trial keeps your data 90 days.

Several clocks start when you leave, and they don’t line up. Here they all are in one place, as of October 31, 2026.

Once read-only access ends, Intuit says you must resubscribe to reach your data. If QuickBooks Online is your only subscription, plan as if the year is all you get. The IRS’s periods count from when you file each return, so they end long after Intuit’s year. That’s why the files on your own computer matter more than read-only access. Your accountant can tell you which IRS periods apply to you.

To cancel, Intuit says to sign in to the Intuit Account Manager and open Products & billing. If you bought QuickBooks through the Apple App Store or Google Play, cancel it there.

In what order should I export?

In the order things disappear. Intuit lists an active subscription as a requirement for the audit log, and payroll has its own clock. Excel exports and the Desktop file last as long as your read-only access: a year after you cancel, or longer while another QuickBooks Online subscription stays on your Intuit login. Attachments and printed forms get no promise, so do them before you cancel.

  1. While you still pay for QuickBooks Online, look through the audit log and save what you need. Print or copy the last reconciliation report for every bank and card account.
  2. Before you cancel payroll, run the final payroll, file what’s due, and save your payroll reports and tax forms.
  3. Before you cancel QuickBooks Online, run Export data for every year, then export the chart of accounts, products, estimates, purchase orders, bank rules, recurring templates and attachments. Open every file.
  4. While you still have read-only access, export anything you missed to Excel, or build the Desktop file if you decide you want one.

Cancel last.

What if I’m moving to Imprest?

Then you don’t rebuild your books from these files. Imprest reads your full QuickBooks Online history straight from QuickBooks, every transaction back to your first, with its attachments. It only reads, so nothing in QuickBooks changes, and QuickBooks stays your books until you switch.

Some things stay behind, and this page still applies to them. You set up recurring templates, sales tax rates and bank feed connections fresh. Payroll records, past reconciliations and the audit log stay in QuickBooks, and estimates and purchase orders don’t come over. If you ever leave Imprest, you can export your data any time, and a canceled company stays read-only for 12 months. The steps for moving are on the switching page.

Frequently asked questions

What happens to my data if I cancel QuickBooks Online?

Intuit’s cancel page, updated October 30, 2026, gives you one year of read-only access after you cancel a paid subscription, or indefinitely while another QuickBooks Online subscription stays on the same Intuit login. You can export to Excel or QuickBooks Desktop meanwhile. A canceled trial keeps data 90 days.

How do I export all my QuickBooks data to Excel?

Go to Settings, then Export data. Set the date range, turn on the reports and lists you want, and choose Export to Excel. You get Excel files in one zip file. Estimates, purchase orders, the chart of accounts, products and recurring templates each export to Excel from their own screen.

How do I download all my receipts and attachments from QuickBooks Online?

Open Settings, then Attachments. Select the files, open Batch actions and choose Export. They download as a zip file with a folder of the files you picked. Open the zip and check it before you cancel, because Intuit’s read-only access promises exports only to Excel or QuickBooks Desktop.

How do I do a full backup of QuickBooks Online?

Your Excel exports and attachment zips are a copy you can read. A full copy of the company comes only as a QuickBooks Desktop file, built with Intuit’s migration tool, and Intuit says a Desktop trial file works. Online Backup, on Advanced, saves to Google Drive, but Intuit says you can’t restore that archive yet.

Can I export the audit log from QuickBooks Online?

Intuit’s help doesn’t show a way. The audit log works on screen, under Settings, 150 records at a time, and keeps events for two years. Intuit lists an active subscription as a requirement to see it, so look through it and save what you need before you cancel.

How do I export all transactions from QuickBooks?

Run Settings, then Export data, for every year you kept. Intuit says it covers the transactions that change your balances, such as invoices, receipts and bills. Estimates and purchase orders export on their own from Sales transactions and Expense transactions. If a long General Ledger comes out short, run it by year or by account.
