Gusto integration
Record Gusto payroll in your books and match it to your bank.
Run payroll in Gusto. Imprest imports each payroll report, records wages, employer costs and funding, and suggests matches between the bank withdrawals and the payroll already posted.
How it works
Four common scenarios, step by step.
Employee payroll and bank withdrawals
Separates the wage expense from take-home pay, employer tax and the amounts Gusto withdraws.
Example: Gusto reports $5,000 of gross wages, $1,000 of employee withholding and $400 of employer tax. It withdraws $4,000 of net pay and $1,400 of taxes. The example includes no benefits or reimbursements.
Payroll processed
Gusto calculates and pays the payroll
$5,400.00 Total business cost
Imported run reviewed
Accounts are checked once the accounting report arrives
Run posted to the ledger
Dated on the payroll check date
Bank withdrawals matched
Both debits match the same payroll run
$5,400.00 Cash already recorded
Wages and employer taxes total $5,400, and checking is reduced by $5,400. Both bank withdrawals are explained without an additional expense.
March work paid in April
Records the cost in the month the work was performed and the payment on its check date.
Example: a March 16 to 31 pay period with an April 5 check date. The combined Gusto report contains $1,000 of wages and $80 of employer tax, funded with $1,080 from checking.
Period and check date confirmed
The imported run is posted once
March cost accrued
Dated March 31
Accrual reversed
Dated April 1
Payroll recorded on payday
Dated April 5
On accrual-basis reports, March carries $1,080 of expense. April's expense for this run nets to zero, and April records the $1,080 cash reduction.
Gusto payroll paid by paper check
Records the employee's check separately while Gusto funds only the taxes.
Example: one employee with $1,000 of gross pay, $200 of withholding and $800 of net pay by check. Employer tax is $80, and Gusto withdraws $280 for taxes.
Check-paid payroll processed
Your business issues the employee's check
Imported payroll posted
Check pay is kept separate from the Gusto withdrawal
Employee check recorded
Created by the same payroll posting
Cleared check matched
The outstanding check explains the timing difference
The total cost and the reduction in book cash are $1,080. Payroll Checks Payable is zero, and the $800 remains an outstanding check until the bank clears it.
Contractor payment with reimbursement
Records contractor compensation separately from the costs reimbursed with it.
Example: a funded Gusto contractor payment containing $900 of compensation and $100 of reimbursed expenses, all paid from checking.
Contractor paid through Gusto
The payment group must be funded
Contractor run reviewed
Separate from employee payroll
Compensation and reimbursement posted
The $1,000 funding is recorded once
Bank withdrawal compared
The cash is already recorded
Contractor compensation of $900 and reimbursement expense of $100 equal the $1,000 reduction in checking. The example creates no payroll tax payable.
Scope
Synchronized data and your controls.
Data synchronized
Payroll runs, their accounting reports, available receipts and funded contractor payments. Setup includes choosing a history start date, matching your team and reviewing account mappings. Gusto notifications trigger updates, with a daily sync as a backup.
Your controls
A synced run can be posted only once its accounting report and required mappings are ready. Your team reviews each run in Payroll and chooses Post to ledger, or turns on Auto-post payroll runs to post eligible runs imported through Gusto notifications. The integration does not submit payroll or send a second payment.
