Ramp integration
Record Ramp card spend, bills and reimbursements through to the bank payment.
Ramp supplies spending activity and its coding. Imprest records the cost, the amount owed and the later bank payment that clears it.
RampHow it works
Four common scenarios, step by step.
Card purchase, refund and payoff
Records the purchase once, reduces it for a refund and clears the card balance.
Example: a $120 software purchase, a $20 refund and a $100 card payment.
Purchase coded in Ramp
The charge is made ready to sync
$120.00 Card purchase
Expense recorded
Complete coding can post automatically
$120.00 Owed on the card
Refund recorded
The vendor returns $20
$100.00 Remaining card balance
Card payment matched
Checking pays the remaining $100
$100.00 Net expense
Software expense of $100 is recorded, checking is reduced by $100 and no card liability remains from this purchase.
Card charge paying an existing bill
Clears accounts payable without recording the original cost twice.
Example: a $1,000 bill already recorded and a $1,000 Ramp charge to the same vendor.
Supplier bill recorded
The cost is already in the books
$1,000.00 Vendor bill outstanding
Card charge received
Open bills are checked before the charge is recorded
$1,000.00 Potential bill payment
Matched bill settled
One exact match can settle automatically
$0.00 Vendor bill outstanding
Card balance paid
The bank debit clears the card
$1,000.00 Total expense recorded
One $1,000 expense, one settled bill and one $1,000 bank payment are recorded. The card charge adds no duplicate cost.
Employee reimbursement and payout
Records the cost and the employee payable before the bank payment clears them.
Example: a $250 approved travel reimbursement in USD books, paid with a $250 bank payout.
Reimbursement approved
The employee is owed $250
$250.00 Approved reimbursement
Employee claim recorded
Complete claims can post automatically
$250.00 Owed to the employee
Bank payout found
The Ramp payment reference links it to the claim
$250.00 Payout to match
Payout match accepted
The employee payable is cleared
$0.00 Still owed to the employee
The travel cost is recorded once. The payout clears the $250 employee payable and reduces checking by $250.
Ramp bill paid from checking
Imports the supplier bill first, then settles it from the actual bank payment.
Example: a $600 repair invoice in Ramp Bill Pay and one $600 payment from checking.
Bill prepared in Ramp
The bill is ready for accounting sync
Supplier bill created and posted
After coding and any required bill approval
Bank debit received
The imported bill remains unpaid in Imprest
Unpaid bill matched
Matching records the bill payment
The $600 repair expense is recorded with the bill. Matching the bank debit records the payment once and leaves no vendor payable.
Scope
Synchronized data and your controls.
Data synchronized
Imprest reads card charges, bills and reimbursements that are ready to sync, together with card balances, statements and payoff activity. Your spend accounts, vendors and available tags are sent to Ramp for coding.
Your controls
Charges with complete coding can post automatically. Uncertain bill matches and unidentified employees are held for review. Imported bills follow your Imprest bill-approval rules, and syncing a bill does not record its later bank payment.
