Ramp accounting integration: cards and bills.

Last checked October 29, 2026

In short

The Ramp integration brings Ramp card charges into Banks & Cards on your Ramp card account, and Ramp bills and reimbursements in for review. Settings you choose decide what posts on its own and what waits for you. If Ramp already sends its accounting to another system, Imprest can still read Ramp.

Before you start

You need an owner, admin, accountant or bookkeeper role in Imprest to connect or disconnect Ramp. Changing the integration settings takes an owner or admin.

On Ramp's side, you sign in to Ramp and approve Imprest's access. Ramp keeps one accounting connection at a time. If Ramp already sends its accounting to another system, Imprest can still read Ramp, and you decide later whether to make Imprest the main one.

Connect Ramp

  1. Open Apps and select Add a connection.
  2. On the Ramp card, select Connect.
  3. Under Connect your Ramp account, select Connect Ramp.
  4. Sign in to Ramp and approve access. Ramp sends you back to Imprest, which sets up your Ramp card account and starts the first pull.
  5. Imprest asks which account in your books the Ramp card is. Select Answer on the banner and pick it. Until you do, its activity waits.

When another system is Ramp's accounting connection

If Ramp sends its accounting somewhere else, or your books are still kept in another system, Imprest starts by only reading Ramp. Card charges arrive as bank lines, and Imprest doesn't mark anything as synced in Ramp. When you're ready to switch:

  1. In Ramp, go to Accounting then Settings and disconnect the other system.
  2. Come back to Imprest and select Make Imprest primary, then confirm.

What comes in, and how it lands in your books

  • Card charges and refunds become lines on your Ramp card account in Banks & Cards, with their receipts attached. When the account coding and the merchant both match something in your books, Imprest accepts the line for you. Otherwise it waits for review.
  • Bills and reimbursements appear on the Bills and Reimbursements tabs of the Ramp page in Apps.
  • New merchants are added as vendors automatically, unless you choose to hold them for review.
  • Cashback from Ramp is booked to a Ramp Cashback Rewards account unless you choose another one.

A charge Imprest can't place yet, because its Ramp account has no match in your books or a required tag is missing, is skipped and stays ready to sync in Ramp until you fix the mapping.

Choose what posts on its own

Open the Ramp page in Apps and select Integration Settings. The sections are:

  • What we pull from Ramp: card charges, bills and reimbursements, each on or off.
  • When new merchants arrive: create the vendor, or hold it.
  • When a card charge matches an open bill: apply it as a payment on that bill (the default), flag it for review, or book it as a new expense.
  • When a reimbursement matches an open bill: record it as the employee paying that bill (the default), flag it for review, or book it as a new expense.
  • Where the cash goes: the card account, default expense account, reimbursement payment account and cashback account.
  • Large reimbursements: above an amount you pick, post them normally, book them to the month the expense happened, or hold them for your review.

A charge settles a bill on its own only when exactly one open bill matches it. When several could match, it waits for you. Refunds never settle bills.

Day to day

  • Ramp tells Imprest when charges, bills and reimbursements are ready, and Imprest pulls them in. It also checks every 30 minutes.
  • Review card lines in Banks & Cards, and bills and reimbursements on the Ramp page in Apps.
  • The Connection tab shows when you connected, the last update Imprest sent to Ramp, and Recent sync activity.

Common problems

Ramp asked to re-authorize

If Ramp's approval has expired or been removed, the Connection tab says "Ramp asked us to re-authorize. Disconnect and reconnect to refresh access." Do that, and Imprest picks up where it stopped.

Reconnect to enable new features

When Imprest needs access Ramp didn't grant the first time, a banner offers Reconnect Ramp. Select it and approve again in Ramp.

Couldn't sync

After a sync error, automatic syncing pauses and the Connection tab shows Couldn't sync. Fix the cause, then select Clear error to resume.

The connection was cancelled or failed

If you cancelled at Ramp, or Ramp returned an error, Imprest says so on the Ramp page. Select Connect Ramp to try again.

Disconnect

  1. Open the Ramp page in Apps and select the Connection tab.
  2. Select Disconnect, then Disconnect Ramp to confirm.

Imprest stops pulling new card transactions, bills and reimbursements. Records already synced stay in your books. You can reconnect the same Ramp business at any time.

Ramp is a trademark of its owner, used here only to name the service Imprest connects to.
