Stripe integration
Record Stripe sales, invoice payments, fees and payouts automatically.
Import sales processed through Stripe, or collect payment on Imprest invoices through Stripe. Each sale is recorded once, together with Stripe processing fees, refunds and payouts.
How it works
Four common scenarios, step by step.
Sale, partial refund and payout
Separates the amount the customer paid, the fee Stripe retained, and the amount deposited to your bank.
Example: a $100 sale with a $10 discount, a $2.91 Stripe fee, a $30 refund and a $57.09 payout.
Customer payment
$90 after a $10 discount
$90.00 Amount paid
Sale and fee recorded
Stripe holds the balance until payout
$87.09 Held by Stripe
Partial refund issued
Sales are reduced. The original fee remains.
$57.09 Remaining in Stripe
Payout deposited
Imprest suggests the matching bank deposit for confirmation
$57.09 Bank deposit
Net sales of $60, a $2.91 processing fee and a $57.09 bank deposit are recorded. No transaction is counted twice.
Invoice paid through Stripe
The invoice records the sale, and the payment settles the receivable without creating a second sale.
Example: a $200 invoice, a $6 Stripe fee and a $194 payout.
Invoice posted
The sale is recorded and the customer owes $200
Online payment completed
The invoice is marked paid and the Stripe fee is recorded
$0.00 Balance due
Stripe activity linked
The charge links to the existing payment, so the sale is not duplicated
Payout recorded
Recorded as a transfer to your bank, automatically or in one step
The $200 sale is recorded once, with a $6 processing fee and a $194 bank deposit. The invoice is paid in full.
Subscription spanning two months
Payment is received up front, and revenue is recognized over the service period.
Example: a $20 subscription for April 26 to May 25, with a $0.88 Stripe fee.
Subscription paid
Thirty days of service
$20.00 Amount paid
April revenue recognized
$3.33 recognized in April. $16.67 deferred to May.
$16.67 Revenue deferred
Payout deposited
The payout does not change when revenue is recognized
$19.12 Bank deposit
May revenue recognized
Recorded on May 25, the final day of service
$20.00 Total revenue recognized
Revenue of $3.33 is recognized in April and $16.67 in May. The $19.12 payout is recorded when Stripe deposits it, independent of revenue timing.
Lost payment dispute
Shows how funds are tracked while a dispute is open and how the loss is recorded once it is resolved.
Example: a $100 sale with a $3.20 Stripe fee, disputed by the customer, with a $15 dispute fee. The dispute is lost.
Original sale recorded
$96.80 held by Stripe after its fee
$100.00 Original sale
Disputed funds withdrawn
Recorded as a $100 chargeback loss and a $15 dispute fee
$115.00 Withdrawn by Stripe
Dispute response submitted
The dispute remains open until it is resolved
$100.00 Under dispute
Dispute closed as lost
The loss was already recorded
$100.00 Chargeback loss
The original sale and its $3.20 fee remain in your books, together with a $100 chargeback loss and the $15 dispute fee.
Scope
Synchronized data and your controls.
Data synchronized
Stripe charges, open invoices, processing fees, refunds, disputes and payouts. Payments on Imprest invoices are also recorded.
Your controls
Importing Stripe sales and collecting invoice payments are configured separately. Your settings determine which transactions post automatically and which are held for review. Each payout is recorded as a transfer to your bank account, and you confirm the bank match.
