Rippling accounting integration: payroll journals.

Last checked October 29, 2026

In short

The Rippling integration runs through Rippling's Manual GL Export. You keep running payroll in Rippling. Rippling sends each pay run's accounting journal to your company's own Imprest address, and it arrives in Payroll as a draft you review and post.

Before you start

There's no sign-in between Imprest and Rippling. The connection is Rippling's Manual GL Export, which emails the journal for each paid pay run. You set it up once in Rippling.

You need permission to manage payroll in Imprest, with Payroll turned on, and access to Accounting Integrations in Rippling.

Imprest records payroll; it doesn't run it. Rippling still pays your team, withholds and pays the taxes, and files.

Set up Rippling

  1. In Imprest, open Apps, choose Add a connection, find Rippling and choose Set up. Follow the setup steps through to the Rippling settings.
  2. In Rippling, open Accounting Integrations, choose Add Integration, then Manual GL Export, and pick this company's entity.
  3. In Imprest, choose Download mapping file. In Rippling's Manual GL Export, open Mappings, choose Import CSV next to Chart of accounts, upload the file, and save. This tells Rippling which Imprest pay item each journal line is.
  4. In Rippling, on the Payroll tab, open Journal Entry Settings, choose Edit, and set:
    • Transaction entry date: Pay Date
    • Aggregate or split out gross wages: Split gross pay into net pay, employee taxes, deductions, garnishments
    • Aggregate wage data across employees: Separate entries for each employee
    • Disable auto sync for pay runs: No
  5. Copy your Imprest payroll address from the last step (choose Copy) and add it to the people who receive the journal entry in those Rippling settings.
  6. Finish the setup in Imprest. Your journal address also stays on the Rippling connection page.

What comes in, and how it lands

Each paid Rippling pay run arrives in Payroll as a draft with a paycheck per person: wages, employer taxes and net pay filled in. People are matched to your team by the name on the journal. A name confirmed before is remembered, a new name is added to your team, and a name that matches more than one person waits for you to choose.

A journal never posts by itself. It reaches your books when you approve the draft. Rippling's journal gives each person's employee withholding as one amount, so Imprest records it as one amount rather than splitting it by tax.

Day to day

  1. After each Rippling payday, open Payroll and open the new draft.
  2. Check the totals, then approve it to post it to your books.
  3. A pay run from before setup can be added by hand. In Rippling, open Accounting Integrations, then Recent exports, and choose Download journal on that pay run. Drop the file on the Payroll page, or choose Import document. Download one pay run at a time.

Common problems

A journal that can't become a draft yet is kept, and Payroll says a journal isn't on a payroll yet. Choose Review to see each one in Payroll journals waiting, where you can open it, Retry or Dismiss. The usual reasons:

  • Setup isn't finished. The journal waits and is tried again each time you save a setup step.
  • More than one pay schedule. Imprest can't tell which schedule an emailed journal belongs to. Open it and choose the schedule.
  • A pay item Imprest can't read yet. Benefit deductions and employer contributions, such as a 401(k) or health premium, aren't read from Rippling's journal yet. A journal with one is refused and names the item, rather than posting to a guessed account.
  • Two people with the same name. The draft waits for you to choose. Imprest remembers the choice for later journals.
  • The same journal arrives twice. One already recorded for the same pay date and net pay is skipped, so a re-sent email doesn't add a second payroll.
  • A file with several pay runs. It's refused. Download one pay run's journal at a time.

Disconnect

  1. Open Apps and the Rippling connection page. You need permission to manage settings.
  2. Choose Disconnect, then Disconnect Rippling to confirm.

Journals Rippling emails afterwards won't be recorded. Payrolls already recorded stay in your books, and you can set Rippling up again at any time. Remove the Imprest address from Rippling's journal recipients too.
