As of October 2026, a one-person service business fits QuickBooks® Solopreneur Lite ($10 a month). A Shopify or Stripe store fits Imprest, which publishes this page. Several entities fit Campfire, Rillet, Intuit Enterprise Suite or Imprest. To work from Claude or ChatGPT, try Digits, Puzzle or Imprest. To approve the AI’s work first, try Puzzle, Xero™ or Imprest.

What’s the best AI accounting software for each situation?

No product fits all eight situations. Each gets one to four good fits, listed alphabetically, with Imprest last where it appears.

Imprest publishes this page, so here is how to read it. Imprest appears in six of the eight situations. It’s always the last fit and labelled as the publisher. The other fits are in alphabetical order, so their order means nothing.

Every current fact was checked on October 30, 2026, on the vendor’s own pages unless a cell says otherwise. Imprest’s rows come from our own product, and older figures carry their dates. If you want the basics first, start with what AI accounting software is. For the trial tests that work on any accounting software, AI or not, see how to choose accounting software.

What’s the best AI accounting software for a one-person service business?

You invoice clients, hold no stock, and see your accountant at tax time.

QuickBooks Solopreneur Lite is the fit, at $10 a month list price as of October 31, 2026. It’s a QuickBooks Solopreneur plan, not a QuickBooks Online plan. Lite has no accountant access, so QuickBooks Online Simple Start, at $38, is the step up when your accountant needs to be in the books.

FitWhy it fitsOne limitation
QuickBooks Solopreneur Lite$10 a month, with Intuit Intelligence, unlimited invoices, receipts and mileage, automated bill pay, and automated sales and sales tax1 user and no accountant access

Digits Essentials ($65 a month) and Puzzle Starter ($30) are other options. Puzzle Starter has 1 seat and 25 AI credits for the life of the account. Digits vs Puzzle puts those two side by side.

What’s the best AI accounting software for a Shopify or Stripe store?

A store gets payouts with sales, refunds and fees netted together. The software has to book each payout as it lands in your bank.

Imprest books payouts from Stripe, Shopify or Square on its own by default. QuickBooks Online and Xero each have their own Shopify connector too: QuickBooks reaches back 12 months, and Xero’s, free on every Xero plan, syncs up to 90 days on its first run.

QuickBooks Online and Xero work with stores through those connectors. Digits and Puzzle aren’t here. Puzzle’s FAQ says it’s optimized for software companies, and that companies with inventory may have needs it’s “not yet optimized to support.” Digits’ pricing page doesn’t mention inventory. The guide to recording Stripe and Shopify payouts walks through one payout line by line.

What’s the best AI accounting software for a business with inventory?

The software has to track what each unit cost you, so your profit is right when it sells.

QuickBooks Online offers FIFO or moving average cost from Plus, at $140 a month, while Xero’s pages describe average cost only.

Imprest (publisher of this page)On Pro, FIFO or weighted average cost, with assemblies. Late receipts, bill edits and voids are replayedUnits of measure, reorder points, barcodes and landed cost aren’t tracked

What’s the best AI accounting software for multiple entities?

A holding company with two operating LLCs, each with its own books and a combined view on top.

Campfire, Rillet and Intuit Enterprise Suite consolidate entities in one view, and Rillet and Intuit both name automatic intercompany eliminations (checked October 31, 2026).

Campfire“Unlimited entities,” consolidation in one place, 180+ currencies, auto-categorizing and an AI assistant, EmberNo public price. Its homepage speaks to “modern finance teams”
Intuit Enterprise SuiteOne real-time view of every entity, with automatic eliminations linked to the source transactionUS entities only, and its page leads to a call with Intuit, with no price
RilletBooks each entity and the consolidation, with automatic intercompany eliminations, in any currencyBuilt for finance teams. Its page asks for a demo and prints no price
Imprest (publisher of this page)On Scaling, you switch on entities in Settings. Each balances on its own, and reports add them up with an eliminations columnThe entities share one currency, one chart of accounts and one team

Digits also adds entities on every plan, free up to 250 transactions a year, for US entities only. In QuickBooks Online each company is its own subscription (see running two companies in QuickBooks Online). Xero bills one subscription per organization, and a Xero staff reply in July 2025 said consolidated reporting is not currently planned. Syft, a separate app in Xero’s store, does it.

What’s the best AI accounting software for books your accountant runs?

For a firm keeping clients’ books, or an owner whose firm does the work.

Intuit Accountant Suite’s Core version has no monthly fee, and Digits keeps the firm’s own books free.

Which AI accounting software lets me approve its work first?

This is about the AI only. Bank rules and connected apps are a separate question, covered in the controls table below.

Puzzle’s software plans say “You review and approve,” and Xero’s JAX works only on bank accounts where you turn it on.

Digits works the other way and posts high-confidence lines automatically. QuickBooks sits in between: Accounting AI puts the lines it’s sure of in Ready to post for you to post (updated October 20, 2026), and Intuit says it updates lines that need more context automatically. The full map of what posts by itself is in is AI bookkeeping safe.

Which accounting software works with Claude or ChatGPT?

A connector lets Claude or ChatGPT read your books and, in some software, change them. The question is what happens when it does.

Digits’ Write MCP, launched October 13, 2026, lets an agent change the books, while Puzzle’s write beta asks you to confirm each change. Imprest takes changes from Claude and ChatGPT as soon as they’re made.

QuickBooks has a connector too, covered in the next situation. Xero’s connector in Claude is read-only, while its separate remote MCP server, which a developer sets up, can write without asking first. Setup for each is in connecting your books to Claude or ChatGPT.

How do I add AI to QuickBooks without switching software?

Moving books is work. If you’d rather add AI to QuickBooks Online, these fit.

Booke AI costs $129 per business a month on top of QuickBooks, while Intuit’s own agents come with your QuickBooks plan, by tier.

What does each AI accounting tool post on its own, and how do I get my data out?

Before you pick, check four things: what the AI posts without you, whether Claude or ChatGPT can change your books, how you get your data out and when the price last moved. Here they are for five ledgers, Imprest included.

QuickBooks Online and Xero both raised US list prices in 2026, and Xero is the only one of the five whose connector in Claude’s directory can’t change the books.

Prices are US list prices per month before promotions. QuickBooks Simple Start didn’t change on August 1. QuickBooks’ earlier prices come from Intuit’s pricing page as the Internet Archive saved it on July 15, 2026, and the date from Insightful Accountant. Xero’s earlier prices come from its own pages, archived October 31, 2025 and August 25, 2026. Three-year totals and longer price histories are in how much accounting software costs.

Where does Imprest fit?

Imprest is AI accounting software for small businesses. It’s listed above for a store, inventory, several entities, firm-run books, approving the AI’s work and working from Claude or ChatGPT.

If you’d rather keep each business apart, see bookkeeping for multiple LLCs for the other setups.

The place it doesn’t fit is keeping QuickBooks with AI on top. Imprest replaces QuickBooks rather than sitting on top of it. It brings over your full QuickBooks Online history, and QuickBooks keeps syncing in until you switch, which is final. While QuickBooks holds the books, Imprest is a read-only copy.

It also runs no payroll of its own and files no sales tax. It connects the Gusto account you already have. More on how its AI works.

Frequently asked questions

What is the best AI accounting software?

There isn’t one for every business. A one-person service business and a holding company with three LLCs need different software. Whichever you look at, check what its AI posts on its own and how you get your data out. Imprest, which publishes this page, is listed last in six of the eight situations.

Is Digits the only AI-native accounting software?

No. Puzzle describes itself as AI-native too, and so does Imprest, which publishes this page. It’s a label vendors chose, not a standard, so judge each one by what its AI does in your books.

Which AI accounting software asks before it posts?

As of October 30, 2026, Puzzle’s software plans say you review and approve. Xero’s JAX reconciles on its own only on accounts where you turned it on. In Imprest, which publishes this page, AI agents hold their changes until you accept them, unless you switch a routine on. Bank rules, store payouts and Gusto pay runs post on their own.

Which AI accounting software handles multiple entities?

As of October 31, 2026, Campfire, Rillet and Intuit Enterprise Suite each consolidate several entities in one place. Imprest, which publishes this page, holds several entities in one company on its Scaling plan. Digits adds entities free up to 250 transactions a year, US only. QuickBooks Online and Xero bill each company separately.

Can ChatGPT or Claude do my bookkeeping?

They can read your books and, with some connectors, change them. As of October 30, 2026, Digits and QuickBooks let an assistant record work, Puzzle’s write beta asks you to confirm each change, and Xero’s connector in Claude is read-only. Imprest, which publishes this page, records connector changes right away, with no approval step.
